Garage details

The Settings entry of the menu opens a hub: tiles arranged in five themes. A tile only appears if your role gives the permission for that screen (see Roles and permissions).

  • The garage: Garage identity, Hours and schedule, Resources, Features.
  • Sales and documents: Documents, Payments, Part families (dedicated page), Client sources.
  • Team: Members, Roles, Workers.
  • Accounting and compliance: Accounting, Compliance.
  • Account and service: Preferences, Support access.

A tile also flags what is left to do: “N legal details to complete” (Garage identity), “No bank account” (Payments), “Terms of sale not published” (Documents).

This page describes the four screens that replace the former single Settings > Garage screen. Each opens from the hub, with a Settings › theme breadcrumb and a Help link on the right.

Screen Permission Blocks
Garage identity Manage garage information Details, Legal notices, Logo, Trading names
Hours and schedule Manage settings Opening hours, Schedule range
Payments Manage garage information for bank accounts, Manage settings for the rest Payment methods, Payment terms, Bank details, Quotes, Invoicing
Preferences Both permissions, each block by its own Region, VAT rates, Part prices, Customer notifications, Workshop documents, Document storage, Emails sent this month

All members of the garage, however, see its name and logo in the application. Administrators have all permissions.

Each block of fields first shows its values. Empty fields are folded behind Show empty fields (n). The Edit button in the block header opens the block for editing in place, with Save and Cancel at the bottom.

  • Esc cancels, Ctrl+Enter saves.
  • Only one block is edited at a time. Opening another block, or leaving the page with unsaved changes, asks for confirmation in an application window.
  • A disabled Save button says why next to it.
  • Saving works as before: same fields, same rules, same audit log. Only the changed fields are sent: if someone else changes another setting at the same time, their choice is kept.
  • In a support session, no write action (Edit, Add, Replace…) is shown on these screens.

The old Settings > Garage address is redirected to the screen that holds the block, anchor included. The former Workshop assistant block no longer exists: the workshop assistant is turned on with the AI assistant feature in Settings > Features.

Garage identity (Manage garage information permission) screen.

They will appear on your quotes and invoices, with the legal notices and bank details of the following blocks.

Field What is expected
Garage name Required, 120 characters at most. This is the trading name, displayed everywhere in Mekaplus.
Garage address Country, street, address line 2, postcode and city (see below).
Phone, Email The garage’s contact details. The phone is entered with its country and saved in international format (Entering a phone number); an old unrecognised number is flagged “Number to check”. The garage’s country (that of its address) is the country offered by default for every number.

Click Edit, change the fields, then Save. To clear an optional field, empty it then save.

The company name, SIRET and VAT number, printed on your invoices, are entered in the Legal notices block.

The garage address is entered like a client’s: type it in Search an address and pick a suggestion, or fill in the fields. If an old address could not be carried over automatically, it is shown above the form as Address to re-enter: copy it into the fields, then save.

  • The street, postcode and city go together: fill in all three, or empty them all to clear the address. In France, the postcode has 5 digits.
  • For a garage outside France, first choose the Country, then type the address and press Enter (or Search): the search abroad only runs on request.
  • An address picked from the suggestions is marked Verified address; editing the street, postcode or city afterwards turns it back into a manual entry.
  • The Address to re-enter notice disappears as soon as you save an address entered in the fields.

Garage identity screen.

The Legal notices block gathers what must appear at the bottom of your quotes and invoices. You enter them once, field by field: Mekaplus builds the legal footer line itself (“Garage des Alpes SARL with share capital of €10,000 · RCS Grenoble 123 456 789 · SIRET … · VAT … · NAF 45.40Z”), shown live under the fields. No need to copy your share capital or your RCS into a free text.

Field What is expected
Company name The name of the company as registered (160 characters at most), even if it is the same as the garage name.
SIRET 14 digits. Spaces are accepted when typing and removed on saving. The check digit is verified: a typing mistake is flagged under the field.
EU VAT number FR, then a 2-character key and your SIREN (9 digits), for example FR 44 732829320. The key is verified. Optional for a VAT-exempt garage (franchise).
Legal form Sole proprietorship (EI), micro-enterprise, EURL, SARL, SASU, SAS, SA, SNC or other. For a sole proprietorship or a micro-enterprise, “EI” is printed after the name.
Share capital In euros, at least €1. Required for an EURL, SARL, SASU, SAS, SA or SNC.
Register (RCS, RNE, RM) One line of at most 80 characters, for example “RCS Grenoble 123 456 789”, “RNE 123 456 789” or “RM 38”. Required except for the “Other” form.
NAF code For example 45.20A or 45.40Z; “4540z” is accepted and reformatted.
VAT regime Standard regime (default) or VAT exemption (franchise en base): your invoices then state “VAT not applicable, article 293 B of the French General Tax Code” and Mekaplus refuses any line with VAT on a quote or an invoice.
Option to pay VAT on debits Prints the matching statement on your invoices (not applicable under the exemption).
Website Optional, an https:// address (https:// is added if missing).
Consumer mediator Name and website of the mediator you belong to: required towards private customers.

Click Edit (the button becomes Complete while notices are missing), then Save. Only the fields you changed are sent; an emptied field is cleared.

An Incomplete legal notices alert, shown in this block only, lists what is missing:

  • missing to invoice: company name, legal form, share capital (forms with share capital), register (except the “Other” form), SIRET, VAT number (except under the exemption) and address. While one of them is missing, built-in invoicing cannot be turned on (the “Issue invoices in Mekaplus” box is refused with this message) and, if it is already on, no invoice can be issued: the garage is never turned off, simply complete the details;
  • to complete: consumer mediator, NAF code, website, bank details. They block nothing.

The Payments screen no longer repeats this alert; it also appears in the Invoice section of a completed work order.

What is printed on a quote or an invoice is copied when it is issued: changing your notices afterwards never changes a document already issued. Quotes and invoices issued before these fields existed keep their original layout.

Only members with the Manage garage information permission can change these notices, and never a support session (Vehitis assistance), even in write mode: Mekaplus also checks this in its database. An operator can only correct the garage name, its phone number and its email (Details block): the address, printed on invoices, is refused too.

Garage identity screen.

  1. In the header of the Logo block, click Replace.
  2. Choose a PNG, JPEG or WebP image of 1 MB at most.

The preview appears as soon as the upload is finished. To remove it, click Remove, in the same header.

What Mekaplus does with your image:

  • it is resized to 512 pixels at most (width and height) and saved as PNG;
  • its metadata is removed (EXIF data, the camera’s GPS position, comments);
  • the old logo is no longer shown when you replace it; it is kept as long as a quote, an invoice or a signed document prints it (each issued document keeps the logo it was issued with), then it is deleted automatically.

Rejected formats: SVG (it can contain code), GIF, TIFF, HEIC… Convert your image to PNG before uploading it. An image of more than 16 million pixels (4096 × 4096, for example) or more than 8192 pixels on a side is also rejected: resize it first.

The logo is never public: only signed-in members of the garage can display it. It is also used in the emails sent to your clients (appointment confirmation, reminder, vehicle ready): it is attached at the top of the message, without any link to Mekaplus. See Client notifications.

Garage identity screen.

A garage that trades under several business names (“Garage des Alpes” for cars, “Alpes Moto” for motorcycles) declares them in the Trading names block, ten active at most. While there are none, a sentence “No trading name…” says so; the Add button opens the form. For each trading name: a name (one line), an internal description, an optional address (picked from the “Search the trading name address” suggestions, like the garage address), phone (with its country, like any number) and email (without an address, the garage address is printed), a linked activity and a logo (same formats and checks as the garage logo).

What a trading name changes:

  • a work order’s quote and invoice carry at the top the name, address, phone, email and logo of its trading name; the emails sending these documents go out under the trading name;
  • the legal name, SIRET, VAT number, legal footer and invoice numbering remain the garage’s: it is the same company.

Two companies = two garages. If your activities are run by two separate companies (two SIRET numbers), create two garages in Mekaplus: a trading name is only a business name of the same company.

A work order automatically gets the trading name linked to its activity (one active trading name per activity); you can change it on the work order as long as no quote or invoice has been issued (see Work orders). Archiving a trading name changes no document already issued, and work orders that use it keep it for their next documents; it simply can no longer be chosen for a new work order. A support session cannot create, edit or archive a trading name, nor change a work order’s. Other members see the trading names, never their contact details.

Hours and schedule (Manage settings permission) screen.

The Opening hours block sets, for each day of the week, whether it is open or closed, the opening and closing time and, if needed, a break (from and back). Times are entered to the quarter hour, in the garage time zone; the break falls between opening and closing. By default: Monday to Friday, 8:00 – 12:00 and 13:30 – 17:30, Saturday and Sunday closed. Save opening hours saves the whole week.

Opening hours are used for three things:

  • each worker’s workload in the schedule (appointment hours compared with opening hours, absences deducted);
  • closed hours, greyed out in the schedule grid;
  • the automatic stop of a forgotten timer, at that day’s closing time (see Time spent).

They add to the schedule hours without replacing them: the grid runs from the earlier of the two start times to the later of the two end times.

Hours and schedule screen.

Planning start and Planning end set the hours shown in the schedule (in the garage time zone). The end must be after the start.

With the Workers feature, a Calendar field appears in this block, with the choice One calendar for the garage (default) or One calendar per worker. The calendar choice is coming in a future version: your choice is saved now and will then apply. The schedule already shows one column per worker in the Day view.

Payments (Manage settings permission) screen.

This page assumes the Payments and cash register feature is turned on (Settings › Features, see Features).

The Payment methods block lists the methods offered when you take a payment, in button order. Every garage receives CB (card), Espèces (cash), Chèque (cheque) and Virement (bank transfer, linked to the default bank account if there is one).

  • Add a method: a kind (card, cash, cheque, bank transfer, third-party payer, other) and a label, unique among active methods. Third-party payer is for amounts paid by someone other than the client (ecological bonus, insurance, warranty, financing).
  • Edit: label, ledger account (optional, 3 to 10 digits, used by the accounting export), garage bank account. The kind of a method does not change: archive it and create another one.
  • Move up, Move down: the order of the buttons in the payment dialog.
  • Archive: the method is no longer offered; payments and client records that cite it keep it. A method is never deleted.

The Cash method carries the legal ceilings: €1,000 per job by default, €15,000 for a client without tax residence in France (article D112-3 of the French Monetary and Financial Code). The ceiling applies to the total cash received on one job, deposits included. The garage has only one active Cash method (a single cash register). Every change is written to the audit log (kind and label, never an amount taken); a support session cannot change the methods.

Payments screen.

The Payment terms block sets the invoice due date. A term is made of a number of days, an End of month box and, at end of month, an optional day of the following month. The due date is computed as: invoice date + days, then the end of that month if the box is ticked, then the chosen day of the following month. The preview shows it: “Invoice of 10/03 → due on 30/04”.

  • The law limits the payment period (article L441-10 of the French Commercial Code): 60 days after the invoice date at most, or 45 days end of month. A longer term is refused, with this message.
  • Exactly one term is the Default: it applies to clients without a term of their own. Every garage receives À réception (on receipt) as default; a garage that had set a payment delay also receives “N jours”, marked default instead.
  • Archive: the term is no longer offered; issued invoices keep theirs. The default term cannot be archived: make another one the default first.

A client record can carry its own term (Client record). When issuing, the client’s term is preselected and can be changed in the dialog; the invoice keeps a copy of the term and of the due date, computed by Mekaplus (see Invoicing).

Payments screen.

The Bank details block (Manage garage information permission, unlike the other blocks of the screen) lists the garage’s accounts, at most five active ones. The default account is printed on your invoices (“Payment by bank transfer: IBAN … · BIC …”) and on the repair estimate. Mekaplus processes no payment: these are mentions only.

  • Add: the button opens the form (it is no longer open by default). Enter a label (the bank’s name, for example, printed on the estimate), the IBAN (spaces accepted, check digits verified) and the BIC (optional). The first account becomes the default one; tick Use as default for a later account.
  • Set as default: invoices issued afterwards carry this account.
  • Edit: the label and the BIC only. An IBAN cannot be changed: archive the account and add a new one.
  • Archive: the account is no longer printed; it stays listed, greyed out.

IBAN required for bank transfer: if a customer’s usual payment method is a bank transfer (see their record), Mekaplus refuses to issue their invoice until an active default bank account is saved. The message “This client pays by bank transfer: add the garage’s bank account (IBAN) in Settings before issuing the invoice” offers a link to this block. Credit notes, deposits and customers who pay another way are not affected.

An invoice keeps the IBAN it was issued with, even if the account changes or is archived later. Each creation, change, archiving or change of default account is written to the audit log, without copying the IBAN. A support session cannot change the bank details.

Payments (Manage settings permission) screen.

The Quotes block sets the values suggested when you issue a quote from a work order. Click Edit, then Save: only the fields you changed are saved.

Setting Effect
Default validity (days) How long the client can accept the quote: from 1 to 365 days, 30 by default. It can still be changed when issuing each quote.
Gap threshold (€ incl. VAT) While the work is in progress, the work order page always shows the gap with the accepted quote. When the total incl. VAT of the work exceeds the accepted quote by more than this amount, the page offers to issue a supplementary quote. 0 by default: any overrun offers it. Nothing is blocked.

The quote terms printed at the bottom of the PDF (1,000 characters at most, copied into the quote when it is issued), its title and its references are set in Settings › Documents. Mekaplus prints the terms as they are: review them with your accountant or your lawyer before using them.

The company name, SIRET and VAT number (Legal notices block) and the address (Details block), on the Garage identity screen, appear on the quote: complete them before issuing your first quotes.

For the workshop’s resources, see Phases and resources. The phases of a work order are fixed and no longer set.

Payments screen.

Issue invoices in Mekaplus turns on built-in invoicing: “Invoice” issues the numbered invoice (F-YYYY-NNNNN) and its PDF, a credit note cancels it. Unticked, you enter the number of an invoice made in your invoicing software. The printed due date follows the invoice’s payment term. The invoice footer terms (free text) are edited in Settings › Documents. Legal form, share capital, register, NAF code and IBAN come from the Legal notices block (Garage identity screen) and the Bank details block: turning it on is refused while required notices are missing (the Incomplete legal notices alert of the Legal notices block lists them). See Invoicing.

A real garage issues no invoice or credit note until the Mekaplus operator has activated its invoicing: French anti-VAT-fraud law requires the software to be covered, for your garage, by an individual publisher’s attestation or an NF525 certificate. Until then, the Invoicing block shows Activation reserved to the operator, the Issue invoices in Mekaplus box stays greyed out and the work order does not offer Invoice. You keep entering the invoices made in your invoicing software. Ask the operator for activation; it cannot be withdrawn and it is logged.

A demo garage (training, trial) invoices without activation: the “Demo garage” label, right below the logo of the menu, says so on every screen, and every invoice, credit note or Z report carries Demo garage — document has no value. A demo garage never becomes a real garage once it has issued a document. Its emails really go out, but always to its members, never to customers: see Sends › Demo garage.

Preferences (Manage settings permission) screen.

Setting Effect
Time zone The garage’s reference time: metropolitan France (default) or an overseas department or territory.
Default language French (default) or English: the language of messages sent to customers. Everyone keeps their own display language (see Appearance and language).

The garage time zone sets Mekaplus’s calendar day: “today” for a mileage reading or a first-registration date, and the schedule hours, whatever the time zone of the device used.

Preferences screen.

Suggested VAT rates (%) lists the rates, as percentages, separated by a semicolon (for example 20; 10; 5.5; 0), eight at most. Default VAT rate is used by the catalog and by new work order lines. A line that already exists keeps its rate if the list changes.

Preferences screen.

Setting Effect
Default margin on parts (%) 30% by default, from 0 to 90%, as a share of the sale price (margin on sale price); the hint shows an example (“cost €100 → sale €142.90 excl. VAT”). It sets the sale price of a part that has neither a recommended retail price at its supplier nor a family: a part ordered from a supplier with no retail price (Purchase price × coefficient rule, rounded to 10 cents), and the sale price suggested when creating a part as soon as its purchase price is entered. When the supplier gives a recommended retail price, that price is used. Leave the field empty to enter prices by hand. The price can still be changed on the part, and a discount is given on each line of a quote or invoice.
Margin alert threshold (%) From 0 to 90% (20% by default): a part whose margin falls below this threshold appears in Prices to review; on a job and at the counter, a margin below this threshold shows in orange with the sentence “Margin below your threshold”.
Purchase price rise alert threshold (%) From 1 to 100% (15% by default): a part whose purchase price rises by more than this threshold within 30 days appears in Prices to review.
Rate shown in the catalog Margin on sale price by default, or Margin on cost: only the display changes (parts list, part sheet, preview of Margin…).

Preferences screen.

Setting Effect
Customer notifications Appointment confirmation and Reminder the day before the appointment (both ticked by default): emails sent automatically to the clients who accept them, from 9 am to 8 pm. Unticked, a box stops these emails, including for appointments already booked; a confirmation can then no longer be sent again.
Notification signature A short text (300 characters at most) added at the end of the emails sent to your clients, for example your opening hours; no formatting.

The signature is entered in the text area of the block; a counter shows the number of characters used out of 300. Line breaks are kept. See Client notifications.

Preferences screen.

The Workshop documents block sets what the vehicle reception form, the repair estimate, the repair order and the vehicle return form print (see Workshop documents and signature):

  • The printed texts (vehicle reception form and repair order terms, repair estimate notes and terms, declaration of conformity of the vehicle return form) are edited in Settings › Documents, with the title and references of each document.
  • Pre-handover checks: by default, the four Mekaplus checks (translated into the client’s language). Customize the list copies them so you can change them: rename, move up, move down, remove, add (12 at most); Back to the Mekaplus checks restores the default list. An empty list offers no checks. Each new vehicle return form takes the list as it is at that time; forms already created keep theirs.
  • Print the key tag at the bottom of the repair order (unticked by default; offered only with the Repair order feature). The key tag can also be printed alone, from the Repair order card of the page’s Documents section.

Bank details are no longer set in this block: the repair estimate prints those of the garage’s default bank account (Bank details block, Payments screen), which also appear on the invoice; the “Compte principal” label is not printed. The details you had entered here were kept as the default account (label: the bank name, otherwise “Compte principal”). Mekaplus handles no payment: these are mentions only.

Only the fields you changed are saved; these settings require the Manage settings permission.

Preferences (read-only, Manage garage information permission) screen.

The Document storage block shows the space taken by the photos and documents uploaded on vehicle and client pages: for example “120 MB used of 50 GB (84 documents)”, with a progress bar. The space depends on your garage’s plan, Basic or Advanced (50 GB at launch), unless Vehitis has set a specific quota for your garage.

The PDFs of issued invoices, credit notes and quotes, filed by Mekaplus, are not counted: their original is always kept, even when the space is full.

When the space is full, new uploads are refused with a message. To free up space, delete documents that are no longer needed (from the pages, with the delete permission): the space is freed immediately. Otherwise, contact Vehitis to raise it.

Preferences (read-only, Manage settings permission) screen.

This block shows how many emails were sent to your clients since the start of the month, out of the monthly quota (for example “42 of 1,000”), with a progress bar. The quota depends on your garage’s plan, Basic or Advanced (1,000 emails per month at launch), unless Vehitis has set a specific quota for your garage. Only emails actually sent count.

  • At 80% of the quota, a warning says it is almost reached.
  • When it is reached, notifications are no longer sent until the following month: they are recorded as Not sent (“monthly notification quota reached”). Contact Vehitis to raise it.

When the details, the logo or the settings change, the screen updates by itself in the garage’s other open windows.

Every change is recorded in the garage’s audit log, with its author and the list of fields changed (without copying their values).
