Agent

The Agent page answers a request written the way you would say it to a colleague: “Are there any Yamahas in the workshop?”, “Show me Nicolas Marie’s record”, “New client Marc Dupont, a Honda CB500F plate AB-123-CD in for a service”. The agent searches Mekaplus and shows you what it found; to create or change something, it proposes a record and you decide: nothing is saved until you click the record’s button (for example Create the client).

The page is available to garages that have turned on AI assistant (Settings › Features) and to people who have the right to use the assistant. It sits in the AI section of the left menu, next to AI usage. Without both settings, the Agent entry does not appear.

Write in the box at the bottom, then press Enter to send (Shift+Enter starts a new line). A request is 2000 characters at most. Above the box, suggestions send a ready-made request in one click: Open work orders and Quotes to chase (when your role can see work orders). The What the agent can do link at the top of the page opens this help.

While the agent is working, the thread says so until the answer arrives: “The agent is thinking…”, “Searching Vehicles…”, “The agent is preparing the record…”.

If your request is ambiguous, the agent asks you a question with a few choices: click the right one and your choice is sent as your answer. There is never a default choice.

Names, phone numbers, addresses and plates in your message are masked before being sent to the AI model and put back in the answer: the provider does not receive this data.

When the agent looks something up in Mekaplus, its answer starts with a green Searched … line (Clients, Vehicles, Work orders, Catalog) followed by what it looked for. Its text comes next, then what it found, shown as in the rest of the software:

  • vehicles: plate, make and model, holder;
  • work orders: number, subject, vehicle and client, status badge;
  • a client: a card with its kind (individual or business), its counters (vehicles held, work orders, quotes, invoices, depending on what your role can see), its plates and Open record;
  • catalog items: name, kind, brand and reference.

Each row opens its record; See in … opens the screen’s list with the same search (for “Open work orders”, the work order tab; for “Quotes to chase”, quotes awaiting an answer).

Each proposal is a record to confirm, marked “Draft · not saved”, that shows the record field by field, with its “I understood: …” sentence. Where each value comes from is shown:

  • a value you said is shown as is;
  • a value read in Mekaplus (a client or vehicle found, a catalog price) is marked “read in Mekaplus”;
  • a value inferred by the agent is highlighted and marked “inferred”: check it before confirming.

On the record:

  • Edit (or the pencil next to a field) changes a value. Quantities are written in workshop units (“1.5”), prices in euros (“12.50”) and rates as a percentage (“20”); a value from a list (client type, title, vehicle type, stage) is picked from a drop-down; the record updates;
  • the action button (Create the client, Create the vehicle, Create the work order, Add the line…) runs it, with the same checks as the usual screen. The record turns Confirmed, with a link to the record created (client, vehicle or work order). If things changed in the meantime (a record edited by a colleague), the record is replaced by a new one to confirm, and nothing is run;
  • Dismiss asks for the reason (not what I wanted, some information is wrong, other) then Dismiss the record; nothing is saved. Then tell the agent what to change.

A proposal expires after a while: the record says so, ask the agent again. A conversation has only one pending proposal: if the agent proposes a new one, the previous one is marked Replaced.

The record points out what needs your attention: a possible duplicate (a similar client exists), a plate in an unknown format, an address that cannot be found. For a duplicate, Use the existing record sets the proposal aside and asks the agent to carry on with the record already there.

A required field left empty (the make of a vehicle when you only gave the model, a client’s name, a company’s name) is flagged and shown empty: fill it in with Edit. The action button stays disabled while it is missing. For a job, a vehicle without a holder needs a client: dismiss the record and tell the agent which client.

When several records match your request (two clients with the same name, for example), the record lists the candidates: choose the right one before you can confirm.

After a confirmation, the agent waits for your next message. Click Continue to move on to the next step (from the client to the vehicle, then to the work order), or write what you want.

On the left, the list of your most recent conversations, grouped as Today, This week and Older, with the time (or day), the start of the last message and a badge with the number of records to confirm still waiting. On a phone, the button left of the thread title opens this list in a drawer.

  • New conversation starts an empty conversation;
  • Search filters the list on the title and the last message;
  • clicking a conversation reopens it with its messages, results and records;
  • at the top of the thread, the conversation’s title, date and number of requests; the bin icon then Delete removes the conversation and its proposals.

Conversations are personal: a colleague does not see yours.

A red message above the input box explains the problem: the agent is temporarily unavailable, the garage’s monthly AI budget has been reached, too many requests were made in a short time (wait a few minutes), or nothing has arrived for more than a minute and a half (connection lost). The working indicator goes away; Try again sends your last request again.
