A client's page

Click a client in the directory to open their page.

Under the client’s name, the tags tell their type (individual or business), their customer code and, where relevant, their state (Archived, Anonymized). On the right, in this order: the Help link, the ⋯ menu (“More actions”) and the main New work order button, which opens the creation of a job with this client already selected and their vehicles at the top of the list.

The other actions live in the block they concern:

  • Edit, in the Details block (see Details);
  • Add a vehicle, in the Vehicles block (see Vehicles);
  • Call, Text and Email, next to each contact’s number or address: they open your device’s phone, messaging or email app. Call goes to the mobile (or else the landline); Text to the mobile; Email to the address. A missing link means the contact has no such detail. Nothing goes through Mekaplus and nothing is recorded: these texts have nothing to do with client notifications and need no consent, since the garage’s own device sends them.

The ⋯ menu holds Merge with… (see Duplicates and merging), Export, Archive (or Restore), Anonymize and Delete (see Archive, export, anonymize), the last two in red. Each entry only appears to people who have the matching permission, and “Edit” or “Add” never in a support session. On an archived page, only Restore, Export, Anonymize and Delete remain; an anonymized page has no action left.

At the bottom of the page, a line tells who created it and who last changed it: “Created on 12/03/2025 by Julie · updated on 02/10/2026 by Marc”. A change to the page or to one of its contacts counts. A member who has left the garage shows as “a former member”, an action by support as “Mekaplus support”; a page imported from other software only has its creation date.

The page has up to three underlined tabs under the header; the open tab is kept in the page address.

  • Record (what follows): activity on the left (vehicles, work orders), identity on the right (details, contacts, photos and documents);
  • Account: the customer’s account statement, with the permission to view payments;
  • History: the Issued documents and the notification history (see below). It does not exist for an anonymized client.

On the Record tab, the Account block gives the customer’s current balance (“Owes €250.00”, “In credit €20.00” or “Up to date”), the View the account link and, for members who take payments, Take a global payment. Without the Payments and cash register feature (Features), the page has no Account tab and no Account block.

The Details block and the vehicle’s Characteristics block are read first. Edit, in the block header, opens its fields in place, with Cancel and Save at the bottom; Esc cancels, Ctrl+Enter saves. Only one card is open at a time: if you open another one, leave the page or close the tab with unsaved changes, Mekaplus asks “Discard your changes?” with Keep editing (the default) or Discard.

Each client receives a customer code (“Customer code 128”), assigned automatically in order of creation, specific to the garage. It never changes, even after archiving or anonymization. In the directory, typing this number alone finds the client.

The page shows the address (and whether it is verified or entered manually), the notification language, the source (“Where did you hear about us?”, see Client sources), the Usual payment method and the Payment terms and, for a business, the SIRET and VAT number. Empty fields fold behind a button; the notes always stay visible. Edit opens, in place, the same fields as the creation: type, address, language and notes, source, usual payment method and payment terms, and for a business the company name, SIRET and VAT number.

  • Usual payment method: one of the garage’s payment methods, preselected when you take a payment from this client. Without the Payments and cash register feature, this field is not offered.
  • Payment terms: the term that sets the due date of their invoices; if empty, the garage default term applies (“Garage default term”).

An archived method or term still shows “(archived)” on the records that carry it, but can no longer be chosen. After a merge, the kept record keeps its own, otherwise takes those of the merged record. Contacts are edited in their own block.

An archived or anonymized client can no longer be edited: first restore an archived client.

Phone numbers are shown in a readable form: “06 12 34 56 78” in mainland France, “0690 12 34 56” for a number in the French West Indies, French Guiana or Réunion, “+32 470 12 34 56” for a foreign number. To enter them, see Entering a phone number.

Every phone field in Mekaplus (mobile and landline of a contact, phone of the garage, of a trading name, of a supplier) has two parts:

  • the calling code: the country of the number (“FR +33”). By default, it is the garage’s country (France otherwise). The list offers the countries of the European Union, the French overseas departments (Guadeloupe, French Guiana, Martinique, Réunion, Mayotte), Switzerland, the United Kingdom, Monaco and Andorra;
  • the number, typed the way it is said in its country: “06 12 34 56 78” in France, “0470 12 34 56” in Belgium. Spaces, dots, dashes and slashes are accepted.

If you type the number with its calling code, “+32 470 12 34 56” or “0032 470 12 34 56”, the country is selected by itself. A number from a country missing from the list is accepted this way. In mainland France, a number starting with “0690”, “0694”, “0696” or “0262” is recognised as an overseas number.

Mekaplus checks the number against the rules of the selected country (number of digits, possible beginnings) as soon as you leave the field, then again when saving; a French mobile starts with 06 or 07. An invalid number is refused with the message “Invalid phone number for the selected country: check the country code and the number of digits.”: nothing is saved. A number that is valid in France but typed with another country selected is never saved as a French number.

The number is saved in international format (“+33612345678”) and shown in its readable form. Search finds it in both forms: “06 12 34”, “+33 6 12” or “0033 6 12” find the same client, as do “0470 12” and “+32 470” for a Belgian number.

Numbers “to check”. Numbers saved before the update of 14 October 2026 were converted to international format based on the garage’s country. A number that could not be converted safely (extra text, two numbers in the same field, unexpected number of digits) was kept as is: it is shown with the “To check” mention (supplier) or “Number to check” under the field (garage, trading name). Correct or clear it; on the garage page and on a supplier, as long as you leave it untouched, the other fields save normally (a trading name saves once its number is corrected). Quotes and invoices already issued keep the number as it was printed.

A client has at least one contact, and up to 20. A contact is a person who can be reached on behalf of the client: title (Mr or Mrs, optional), first name or last name (at least one of the two), role, email, mobile, landline. The title of the main contact of an individual is printed before their name on quotes; it is erased on anonymization.

  • Add, in the header of the Contacts block, opens a drawer on the right; each contact’s ⋯ menu offers Edit contact (same drawer), Make main contact and Remove.
  • Only one contact is the main contact: it is the one shown in the directory. Make main contact switches the main contact.
  • Only one contact can be the billing contact (Billing contact box in the contact drawer, Billing tag on their card): they are suggested first when sending invoices, credit notes, quotes and the proforma (see Messages and notifications). Ticking the box on another contact unticks it on the previous one; an anonymised contact never is.
  • Remove deletes a contact, after confirmation. The main contact cannot be removed: first designate another one.

In a contact’s drawer (⋯ menu › Edit contact), each channel (text message, email) has a single choice:

  • Accepts text messages / emails: the contact has agreed to receive notifications on this channel;
  • No choice for text messages / emails: neither agreement nor refusal;
  • Opted out of text messages / emails: the contact objects to them.

An opt-out overrides consent: as long as it is chosen, no notification is sent on that channel, even if consent had been given before. The choice is saved as soon as you make it (no need to press Save), and the contact’s card summarizes it: “Accepts text messages · Opted out of emails”.

A few rules:

  • consent to text messages requires a mobile number on the contact, and consent to emails requires an email address;
  • an opt-out is always recorded, even without a number or address;
  • if you change or remove a contact’s mobile number (or email), their consent on that channel is erased: the contact will have to give it again for the new number. Their opt-out, however, is kept;
  • every change is recorded in the audit log;
  • the choices are only offered to people who have the permission to edit clients, on an active client, and a contact’s consent is set once the contact has been added.

The client can also opt out themselves, with the opt-out link in every email, or their mail service can report it (request to stop receiving the messages, email marked as spam). The Opted out of emails choice is then set, and the contact’s card tells who requested it and when: “Opt-out requested by the recipient (email link)” or “Opt-out reported by the mail service”, followed by the date. If the client asks for emails again, choose Accepts emails or No choice again. See Client notifications.

On the History tab, the Notifications section lists the emails sent or planned for the client (appointment confirmations, day-before reminders, vehicle ready), from the most recent to the oldest: kind, status (Scheduled, Sent, Delivered, Not sent, Bounced…), date in the garage’s time zone, reason for an email not sent (for example “the contact has not agreed to emails”) and recipient, with their partly masked address. Send again resends an appointment confirmation or a vehicle ready that was not sent, once the cause is fixed, for people who can notify clients. Notifications are erased 90 days after their last change. See Client notifications.

The Vehicles block lists the vehicles the client currently holds (Current, with the start date) and those they have held (Previous, with the period); a row opens the vehicle’s page. It appears for people who can view vehicles.

Add, in the block header, opens the vehicle form in a drawer on the right: the page’s client is its holder from the start. Once created, the vehicle shows in the list. You need the permission to edit vehicles.

The Work orders section lists the work orders for which the client is the client (the one they are billed to), from the most recent to the oldest (in pages of 25, the page is kept in the address), with the vehicle, the phase and the date. It appears for people who can view work orders. A work order is created with New work order in the page header, with the dashboard’s New button, from the Workshop list or from the vehicle page. See Work orders.

On the History tab, the Issued documents section lists the invoices, credit notes, invoice references and issued quotes in the client’s name, and those of the records merged into theirs (with a mention of the original record), from newest to oldest: number, issue date, job (link), vehicle (the plate printed on the document when it was issued, or the plate of the job’s vehicle for an entered invoice) and amount including VAT; the list is cut into pages of 25 (page numbers at the bottom, page kept in the address), like the client’s work order list. These documents never change client: they keep the name and number under which they were issued. It requires the permission to view work orders. See Duplicates and merging.

The Photos and documents section keeps the client’s papers (registration certificate, signed quote, photos). It only appears for people who can view documents, and disappears when the client is anonymized: their documents are then deleted. See Photos and documents.
